How do I choose an agency to work with?

Choosing the right agency for you depends on what you are looking for. At Nextiny, we are as selective in choosing our clients as they are in selecting us. We want to make sure that we are working with companies that we feel we can truly help grow. We also want to make sure we are taking on clients who see us as strategic partners, not just as service providers. 

How do I know if I am ready for HubSpot and an inbound strategy?

When we partner with companies to start an inbound strategy, our goal is to help your business grow! To have true success from the beginning, you should have most of the following:

- An understanding of who your ideal customers are
- Defined sales processes with an active sales team
- A database of current leads and customers
- Established business goals
- Willingness to share company information to help our agency understand where you are and where you would like to be

Does your agency only work with clients in a specific industry?

Because we are located in the state of Florida, we have ample experience in the B2C luxury market. That being said, over the years we have worked with clients in very diverse B2C and B2B industries.

How long does it take to see results from an inbound marketing and sales strategy?

Everyone's favorite answer is "it depends," right? Well, in this case, it really does. We create a customized strategy for each client. The strategy is based on where you currently are, what resources you have, and what you need to grow. If you have an existing website, create content regularly, have an active sales team with a well-defined sales process, and use HubSpot already, we can help you see results faster than if you are starting from scratch. A well-developed, successful inbound marketing and sales strategy is a long-term play. Inbound is not built for short-term success. Because of this, it could take a year or more to see ROI in some cases.

How can I understand if my strategy is successful?

To understand if you have a successful inbound marketing and sales strategy, you need to analyze the results against your business goals. If you need to talk to 20 new leads a month to close 5 new customers, then we will analyze how your inbound efforts are contributing to both your goals for lead generation and customers closed. There are a lot of different metrics that you can analyze when it comes to inbound efforts, especially when you are using a tool like HubSpot, but it is really important to understand which metrics are actually making an impact and helping to prove ROI.

What kind of time investment do I need to make when working with an agency?

When it comes to an inbound strategy, you get out what you put in. It is important to understand that agencies like ours are HubSpot and inbound marketing/sales experts. You are the expert in your industry and your unique business. We will work with you to understand your business and we will do the necessary research to help find more opportunities for growth. In the beginning, we will require more of a time investment from you and your team as we get your strategy off the ground. Weekly check-in meetings to keep things moving forward are normally necessary, as well as an additional few hours a week for content and campaign material approval. As we move forward, there will be less of a time commitment on your end for meetings and approval. 

Usually we need 2 to 4 hours of involvement from your end per week and we recommend having one person that owns this project to make sure that things get done on your end. This person should make sure database structure, designs, content, strategy, etc are approved internally by the necessary people, and should be someone that can make decisions directly if possible.

Of course, when we implement Marketing and Sales strategies into HubSpot, we will get the Marketing Manager/Director and the Sales Manager/Director involved to make sure all processes are in line and everybody is working together with the same goals.

Who is my point of contact at your agency? How will you work with my current team?

When you work with Nextiny, you get the entire team. You will have a Client Strategist and your Account Manager as your primary points of contact, but then you will also have individual team members who will be your go-to for specific needs. You will be well-acquainted with the team so that you know who you should be contacting for sales questions, new campaign information, website changes, or anything else that comes up. 

What is our agency's onboarding process?

During our website kickoff call, we will get an in-depth understanding of your business and website goals as well as industry competitors, design preferences, sales process, and brand identity. From there, we will do research to make recommendations for your project and strategy.

We will define your main goals for the initial months and make sure we come up with a plan to execute them.

We use Monday.com to manage all project management with our clients, so you will be able to send tasks to our team directly in the tool.

We will schedule weekly meetings after that to keep the project moving forward, especially the first 3 or 4 months, after that it might stay weekly, or go to twice a month or monthly depending on how much we need to interact with your team directly.

In these weekly meetings we will go over our audits, strategy, tasks that need approval/discussion, and goals for the next week. We will also review Monday.com tasks and make sure everything keeps moving forward.

You can of course schedule special meetings with our team members to discuss specific projects or topics like the website development.

Does your agency do any project-based work?

Yes! Many of our long-term partnerships have started as one-off website or HubSpot implementation projects.

We can work on a hourly package or create a customized limited-time monthly retainer to help you with your immediate needs. These include website design, custom development, video production, HubSpot implementation, HubSpot optimization efforts, conversion optimization, automation optimization, sales process review and optimization, database verification and segmentation, campaign management, and more.

We also know that content marketing, inbound marketing, SEO, and lead generation efforts take time and effort to see the ROI. Therefore, we encourage clients with long term goals to work with us on monthly retainers.

Does your agency help with PR and offline marketing?

If you have an existing PR or traditional marketing strategy, this is something you will have to continue managing outside of our partnership. Our specialty is digital marketing and sales strategies, so we do not take on offline marketing and PR projects. We will, however, help you optimize these traditional efforts in an inbound way by supplying you with unique tracking numbers/links and other tools to be able to track your success from these efforts. This will help you understand if you are actually getting any business from these efforts and then decide from there if you want to continue investing in these offline efforts over time.

How much does it cost to work with an agency? Are there any additional costs?

Our retainer services are based on the number of hours needed to implement and work on your marketing and sales strategies and the tasks necessary to create an impact every month. Each strategy is unique, so the number of hours and therefore, cost will be decided on a case-by-case basis. These packages can range from 40 to 70 hours depending on your needs.

In addition to your retainer with Nextiny, you may have a software package and your HubSpot contract.

Outside of that, if you choose to invest in Google AdWords or social media ads, our team will manage those strategies for you as part of your retainer as long as your ad spend is $1,000 or higher per month for each. Your ad spend is an additional investment you will make outside of your retainer. We don't charge a percentage of your ad spend to manage these campaigns. These efforts are included in your monthly retainer.

When we work with you on a specific project we will put together a customized package that can include several months of website design or HubSpot implementation in order to finish the project. These packages can range from 2 to 4 months at 40 to 70 hours per month.

Video production, custom development, and other more specific projects will be quoted on a case-by-case basis.

How do you report on monthly hours used? Is the cost prorated if we don't use all the hours in a given month?

Our retainers are based on the number of hours we know it will take to implement the scope of work we have agreed upon on a monthly basis. We keep track of those hours for internal management purposes to make sure our clients are staying within scope, but we do not actively report on hours used on a monthly basis. If we see that a client is consistently using more hours than the scope allows for, we will have a conversation, but we will not send an invoice for these additional hours without notice.

What is the expected number of months you typically support companies on their HubSpot implementation?

The initial HubSpot onboarding and implementation should be finished between 3 to 6 months of the engagement depending on the complexity of the strategy, data structure, segmentation, and more.

Of course, as you keep using more features and continue to grow and evolve, we will continue to implement HubSpot processes and optimize your account to make the most out of the platform over time as part of your monthly retainer.

After the initial implementation of HubSpot is complete, most clients will continue to work with us to get continued HubSpot support and training for their team and/or to work on digital marketing campaigns and activities such as content creation, email marketing, SEO, video production and more.
